Who this covers
Two kinds of people use General Dispatch. Businesses (a heating and cooling business, a plumber) that sign up and connect their phone number, calendar and agent. Their customers, who call, text or fill in a form and whose requests the business handles here. This policy covers both. Where a business uses General Dispatch to handle its customers' information, the business is the controller of that information and we process it on the business's instructions.
What we collect
- From businesses: the account holder's name, email and phone; the business's name, address, hours and service list; the staff members they add; the calendar and phone connections they authorise; payment details, held by our payment processor, never by us.
- From a business's customers: name, phone number, email and service address as given; the messages exchanged with the business; call records (time, numbers, duration; no recordings in the current release); appointments and estimates; and the record of how and when consent to text was given or withdrawn.
- Automatically: standard server logs (IP address, browser, time) for security and to keep the service working.
How we use it
To do what the business asked: answer and book its customers, send the confirmations, reminders and follow-ups described on the SMS program page, keep its records, and tell the owner what happened. To operate, secure and improve the service. To meet legal obligations, including keeping records of text-message consent. We use AI models to read and draft messages on the business's behalf; the content of those messages is processed for that purpose and is not used to train models.
Text messages and mobile information
Phone numbers and text-message consent are collected only as described on the SMS program page. Mobile information is never sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent are not shared with any third party except the carrier that delivers the message. Reply STOP to any message to opt out.
Who we share it with
Service providers that act for us: our telephony carrier (Telnyx) to deliver calls and texts; Google or Microsoft when a business connects its calendar, under that business's own authorisation; the AI model provider (Anthropic) to process message content; our hosting and database providers. Each is bound to use the information only to provide its service. We disclose information when the law requires it. We do not sell personal information.
How long we keep it
Business records for as long as the account is open and for a reasonable period after. Text-message consent records for the life of the number in the system and at least five years after the last message, and opt-out records indefinitely, because the law requires that a request to stop be honoured for years. A business may ask us to delete a customer's records; the opt-out record is kept as a suppression entry so the number is not texted again.
Your choices
Customers of a business: reply STOP to stop texts; contact the business to see, correct or delete your information, or write to us and we will relay the request. Businesses: your account settings, or write to us. Residents of California and other states with privacy laws have the rights those laws give; write to us to exercise them and we will not discriminate for doing so.
Security
Information is encrypted in transit and at rest; credentials for connected services are sealed with a key held only by our servers; access inside our systems is scoped so that no one credential can see more than its business. No system is perfectly secure; if a breach affects you we will tell you as the law requires.
Children
The service is for businesses and their adult customers. We do not knowingly collect information from children under 13.
